CONTROL QUESTION: How did you become aware of the new rules about making minor changes to the rental property?

Big Hairy Audacious Goal (BHAG) for 10 years from now:

Ten years from now, my big hairy audacious goal for Change Review would be to have successfully implemented a reputation management system within the property rental industry. This system would involve setting new, industry-wide rules for making changes to rental properties and ensuring that landlords and property managers are held accountable for maintaining the standards set forth.

I became aware of the new rules about making minor changes to rental properties through my experience as a tenant and hearing from friends and family members who have had negative experiences with landlords. I also read articles and forums online where tenants shared their frustrations and difficulties in getting minor changes made to their rental units.

However, as I delved deeper into the issue, I realized that landlords also face challenges in managing and maintaining their properties due to the lack of clear guidelines and regulations in the industry. This sparked my interest in finding a solution that would benefit both tenants and landlords, ultimately leading me to set my big hairy audacious goal for Change Review.

By introducing a reputation management system, tenants will have a platform to share their experiences with specific landlords and rental properties. This will create a sense of accountability for landlords to adhere to the agreed upon standards and make necessary changes to their properties in a timely manner. Additionally, this system would also help landlords to build a reputable image in the rental market, ultimately attracting more tenants to their properties.

Through this initiative, I hope to bring about positive change in the rental industry and improve the overall renting experience for both tenants and landlords. I believe that with determination and collaboration, this goal can be achieved within the next 10 years.

Change Review Case Study/Use Case example - How to use:

    Client Situation:

The client, a property management company, manages a portfolio of rental properties across five different states. They have been in the business for over a decade and have established a good reputation in the industry. However, they recently faced a major setback when one of their rental properties failed a routine inspection by the local housing authority. The reason for the failure was that some minor changes had been made to the property without prior approval from the housing authority, resulting in violations of the building codes.

This incident not only resulted in financial losses for the client but also damaged their reputation. They were unaware of the new rules and regulations regarding making minor changes to rental properties and were shocked to learn that such changes could result in severe penalties and violations. Realizing the impact this could have on their business, the client approached our consulting firm for assistance in understanding the new rules and implementing a process for managing changes to their rental properties.

    Methodology:

Our consulting approach for this project involved conducting extensive research on the laws and regulations governing rental property inspections and changes. We also interviewed key stakeholders, including the client′s management team, property managers, and maintenance staff, to understand their current processes for managing changes to rental properties.

Based on our research and interviews, we developed a step-by-step process for managing changes to rental properties, which included obtaining necessary approvals, communicating changes to tenants, and documenting all changes made to the property. We also conducted training sessions for the client′s employees to ensure they understood the new rules and regulations and how to implement the new process effectively.

    Deliverables:

As part of this project, we provided the following deliverables to the client:

    1. A detailed report outlining the new rules and regulations regarding changes to rental properties and their implications on the client′s business.
    2. A comprehensive process for managing changes to rental properties, including approval procedures, communication protocols, and documentation requirements.
    3. Training materials and sessions for the client′s employees to ensure they were equipped with the knowledge and skills to implement the new process.
    4. Templates and checklists for documenting changes and obtaining necessary approvals.

    Implementation Challenges:

Implementing the new process for managing changes to rental properties was not without its challenges. The client′s employees, who were used to a more informal approach to making changes, were initially resistant to the new process, citing concerns about increased paperwork and delays in making necessary changes. To address these concerns, we provided additional training and support to help them adapt to the new process.

Another challenge was ensuring consistency across all the rental properties managed by the client, as each state had its own set of regulations. To overcome this challenge, we worked closely with the client′s property managers in each state to customize the process to the specific requirements of their respective states.

    KPIs:

To measure the success of our consulting engagement, we defined the following KPIs:

    1. Number of violations or penalties incurred due to unauthorized changes made to rental properties.
    2. Compliance with new rules and regulations for managing changes to rental properties.
    3. Reduction in tenant complaints related to changes made to rental properties.
    4. Employee satisfaction with the new process for managing changes.

    Management Considerations:

It is imperative for the client to establish a culture of compliance and strict adherence to the new process for managing changes to rental properties. Regular audits and training sessions should be conducted to ensure employees are following the correct procedures. It is also important to stay up-to-date with any changes to the rules and regulations governing rental properties in each state to ensure continued compliance.

    Conclusion:

Through our consulting engagement, we were able to help the client understand the new rules and regulations regarding changes to rental properties and implement an effective process for managing such changes. As a result, the client was able to avoid any further violations and penalties, improving their reputation and maintaining compliance with the authorities. By continuously monitoring and improving their processes, the client will be better equipped to handle any future changes to regulations and maintain a high level of compliance across all their rental properties.
